Who it’s for: Parish retreat coordinators, youth ministers, catechists, DREs, and women’s and men’s group leaders — for fifteen people or a hundred and twenty.

Nobody hands you a system for this. You get handed a date, a budget somebody guessed at, and a list of volunteers on a napkin.

Then you are expected to be spiritually present on the day as well as running it. This is the system nobody handed you.

Yellow cells are the only ones you type in. White cells do the math. There are no macros, so no security warnings and nothing to enable. Open it in Excel, or upload it to Drive and open it with Google Sheets — save a spare copy first and you have a clean template for the next event.

It will not run the retreat for you. It will stop you carrying all of it in your head, which is most of what exhausts people who do this work.

What’s inside

Everything you get

  • START HERE — your event details. Fill this in first; everything else reads from it
  • DASHBOARD — registrations, volunteers, money and readiness on one screen. You never type on this tab
  • COUNTDOWN — 36 tasks already written, from eight weeks out to the debrief after
  • RUN OF SHOW — type a start time and a duration and the end time calculates itself. This is the page you print and carry
  • SESSIONS — one row per talk: who’s leading, how long, what people walk away with, what the room needs
  • VOLUNTEERS — roster with role, shift, confirmation and a safe-environment training column
  • REGISTRATIONS — up to 120 attendees with dietary needs, allergies, permission forms and emergency contacts
  • BUDGET — money in and out, planned against actual, with your cap subtracted for you
  • SUPPLIES — packing list by category, with who is bringing each thing
  • FOLLOW-UP — thank-yous plus eight debrief questions to answer while it’s still fresh
  • Also included: a four-page Start Here guide, a printable run-of-show sheet, and a 35-page printable edition of the whole thing

Format: An .xlsx workbook for Excel or Google Sheets (no macros), a four-page Start Here guide, a printable run-of-show sheet, and a 35-page printable PDF edition. Instant download — nothing ships.

Questions

Before you buy

Do I need Excel?

No. Upload it to Google Drive and open it with Google Sheets, which is free. It also opens in Excel on Windows or Mac. There are no macros, so no security warning.

What if I’d rather work on paper?

The 35-page printable edition is included at no extra cost. Same structure, designed for a binder.

How big an event does it handle?

Fifteen people or a hundred and twenty. The registrations tab holds 120 attendees; everything else scales with what you type.

It holds personal data — is that a problem?

The registrations tab holds names, allergies and emergency contacts, some of them for minors. Keep the file somewhere sensible, share it only with people who need it, and delete it when the event is long over. The safe-environment column helps you track what your diocese already requires — it is not a substitute for your diocese’s policy, forms or background checks.

Still wondering something? Ask me directly — a real person reads every note.
